    PhoneTap is a call analytics platform built for home service contractors using ServiceTitan. It connects to your ServiceTitan account, retrieves inbound call recordings, and uses AI to analyze what happened on each call.
    No. PhoneTap analyzes calls after they happen. It does not answer calls, interact with customers, or replace any part of your phone handling workflow. It is a review and coaching tool designed to improve phone performance.
    No. PhoneTap does not initiate, intercept, or record calls. It retrieves recordings that already exist inside ServiceTitan.
    No. PhoneTap operates as a read and enrich layer on top of your existing call data. It does not intercept, redirect, or modify live calls.
    PhoneTap helps you understand what actually happens on inbound calls, identify missed booking opportunities, and correct inaccurate call outcomes in ServiceTitan.
    Companies without call recording or with very low call volume may not see meaningful value yet.
    PhoneTap currently integrates directly with ServiceTitan via the official API. If you are on a different FSM/CRM and would like to use PhoneTap, please let us know. We have other FSMs and VOIP systems on the roadmap.

    PhoneTap reads:

    • Call recordings and call metadata such as caller ID, duration, timestamp, and call direction

    • Call type and existing disposition tags

    • Customer records including name, address, and history

    • Job and booking data associated with calls

    • Agent information

    PhoneTap never overwrites or deletes existing ServiceTitan data. It appends information alongside existing records, including:

    • AI-generated call summaries added to job or customer notes

    • Updated call tags and memo fields

    Yes. Call recording must be enabled inside ServiceTitan.

    • Active ServiceTitan account with API access enabled

    • Admin-level access to authorize the integration

    • Call recording enabled in ServiceTitan

    • Recommended minimum of 100 inbound calls per month for meaningful analysis

    PhoneTap follows a five-step process for every inbound call:

    1. Connect securely to ServiceTitan

    2. Retrieve recordings and metadata

    3. Transcribe the audio using a third-party transcription provider

    4. Analyze the transcript for call intent, booking outcome, sentiment, and opportunity value

    5. Sync corrected classifications back into ServiceTitan

    Yes. Any classification can be reviewed and corrected manually. Corrections are tracked and used to improve future accuracy.
    PhoneTap periodically reconciles its data with ServiceTitan. Updates made after analysis will sync during the next cycle.
    Yes. PhoneTap can send alerts when calls meet specific risk criteria.
    Alerts are generated based on AI analysis thresholds configured for your account. For example, calls where a booking opportunity was identified but the call ended without an appointment.

    Yes. Alert thresholds and delivery preferences are configured by your company administrator in PhoneTap settings.
    Yes. Alerts can be configured using caller sentiment, such as positive, neutral, or negative.

    PhoneTap calculates estimated revenue at risk using your own ServiceTitan data:

    1. Calls classified as unbooked are flagged as missed opportunities

    2. The average new customer value is calculated from historical job and revenue data

    3. Missed opportunities are multiplied by this value to estimate revenue at risk

    Example: 23 unbooked calls × $1,200 average value = $27,600 estimated revenue at risk

    No. Revenue figures are estimates based on historical patterns and are not guarantees of lost or recoverable revenue.
    They are derived from your ServiceTitan historical job and revenue data.
    Yes. All data transmitted between PhoneTap and ServiceTitan is encrypted using TLS.
    PhoneTap uses OAuth 2.0 client credentials for ServiceTitan API authentication.
    No. Call recordings are not stored permanently by PhoneTap.
    Transcripts and analysis results are retained for the duration of the customer relationship.
    Audio transcription is performed by a third-party provider. Audio is transmitted securely and not retained after processing.
    Customers are responsible for complying with local call recording laws and regulations.
    PhoneTap only accesses data authorized by the company administrator during setup.
    Yes. Access can be revoked at any time by disconnecting the ServiceTitan integration.
    No. PhoneTap does not own or manage phone numbers, VoIP systems, or call routing infrastructure.
    No. PhoneTap operates as a read-and-enrich layer. It does not intercept, redirect, or modify live calls.
    You can cancel your subscription at any time by contacting your account administrator or PhoneTap support. Access will be revoked, and no further data will be retrieved from ServiceTitan.
    PhoneTap tracks outcomes even when booking happens later in the process. We inspect where each booked call originated, so if it came from any source other than a phone call, it is noted.
    PhoneTap can identify and categorize non-service calls, such as wrong numbers or non-booking calls.
    PhoneTap supports calls in multiple languages through our transcription provider. Performance may vary based on audio quality and language.
